How much did we sell last year? Last month? How many more do we have in the funnel? These are common questions that we ask ourselves when working with the client on a daily basis and using the CRM system. Of course, rich and carefully prepared reports can help us, but sometimes the simplest information is the laconic one, displaying the financial result of a given client in the simplest way. This is where the rollup fields in Microsoft Dynamics 365 Sales come in handy.

What are rollup fields? It is a very simple, and at the same time extremely useful functionality that allows you to convert values (summing up, averaging, displaying the maximum or minimum value) based on related data and displaying them in the form of a field in our CRM system. For example: we want to sum up the value of paid invoices for the client in the last five years or we want to calculate how much money we have to get in the next year based on the Sales Opportunities registered in the system.

Therefore, these fields significantly complement the 360-degree view of our clients that we build in our CRM system. They allow at a glance to determine and assess which customer (or potential customer) is the record that we are currently viewing.

The great advantage of statement fields is the fact that they are calculated automatically (by default, once every 12 hours, but you can modify this frequency to, for example, calculate fields every hour, as in the example discussed in the video), which allows you to verify the value of sales on our clients on an ongoing basis. e.g. using specially prepared views. Of course, you can also refresh such fields manually, so as to verify the current value of sales, if we know that during our work with the system, there may have been some additional Sales Opportunities, Offers, Orders or Invoices.

To sum up – statement fields is a simple function that allows you to get quick business value from the information registered in the CRM system. It does not require specialized knowledge to configure it, and at the same time gives end users important data that helps in their daily work.
